Three room structures
| Buyer decision | First page | Core materials | Access consideration |
|---|---|---|---|
| Technical fit | Architecture and evaluation scope | Datasheet, solution brief, POC plan | Limit environment and security evidence |
| Business approval | Decision summary and assumptions | Business case, alternatives, evaluation result | Restrict pricing and internal estimates |
| Internal advocacy | Forwardable summary | One-pager, FAQ, proof links | Avoid exposing private evaluation material |

Access is part of the design
Vercel’s Deployment Protection documentation is a concrete example of access choices for preview and production URLs: teams can use authenticated access, passwords, trusted IPs, or shareable links depending on the configuration. A sales room needs the same explicit choice about who may see which artifact and when that access ends.
Never treat a shared URL as evidence that a recipient is authorized for all material inside it. Keep private evaluation artifacts separate from public product documentation.

Illustrative room
Illustrative worked example. Names, volumes, dates, and outcomes are fictional; replace them with approved evidence before use.
The champion sees a one-page problem summary and a three-step evaluation plan. The technical reviewer sees the architecture, datasheet, integration prerequisites, and security worklist. The finance sponsor sees the business-case assumptions and decision date. All three paths point to the same POC criterion, but only the assigned reviewers can access the detailed evidence packet.
